Dance-A-Thon Fundraiser is coming – YOUR help is needed!

Good afternoon parents,
We are about to jump in with both feet into our fall PTA Fundraiser – our Dance-A-Thon.  We are doing our own internal fundraiser, which means we get to keep much more of the money, but also that we need to do all of the work.  This is where we need your help!

We have many short shifts (one hour or less) and a few longer ones.  The PTA board just simply can’t pick up every shift, so we are hoping that we can get help from our parent community to share the load!

We need:
Flyer Stuffer:  This is an easy, quick job that should take less than 30 minutes.  Responsibilities:  Use a classroom headcount list to sort fliers and stuff in the teacher’s boxes.  We need this done on specific days, but the time is up to you.  It just needs to be done by 3:30 PM.  Dates:  10/31, 11/2, 11/3, 11/9, 11/15

Money Collectors:  Estimated at 1 hour per day (possibly less!)  We will have a table set up at the school each morning for the duration of the Dance-A-Thon to collect any cash/check donations that are brought in by students.  Responsibilities:  Greet students with money, verify the money they bring in, and log it in our system.  Total the money at the end of the shift and give to designated PTA representative for deposit. Dates:  11/2, 11/3, 11/6, 11/7, 11/8, 11/9, 11/13, 11/14, 11/15, 11/16, 11/17    8:45 – 9:45 AM each day

Prize Tracker:  What’s a fundraiser without incentive prizes?  Estimated at 1 hour per time.  Qualifications:  Someone that knows Excel relatively well and can sort & manipulate data.  Can be done from home!  Responsibilities:  Use our online system to run reports showing total donations by each student.  Sort the list to show what child is due to receive their prize(s).  Dates:  11/6, 11/8, 11/14, 11/16, 11/20  – typically in the evening.

Prize Distribution:  Estimated time:  1 – 2 hours per occurrence.  Responsibilities:  Based on the reporting that you receive from the Prize Tracker, sort prizes by teacher & deliver to classrooms for distribution to students.  Dates:  11/7, 11/9, 11/15, 11/17, 11/21   Times are flexible – just sometime during the school day.

Balloon Pickup & Delivery:  Estimated time:  1 hour.  Responsibility:  We need someone with a large vehicle to coordinate order & pickup of balloons for the Dance-A-Thon.  Order placement can take place the week of Nov 13th, and balloon pickup will be afternoon of Thursday, Nov 16th.

Dance Decorating Crew:  Estimated time 1 – 2 hours.  Responsibilities:  Help to decorate the gymnasium in a Seahawks theme for the dance.  Date:  November 16th, 3:30 – 5:30 PM

Again, we really do need your help!  This type of event is a lot of work but carries huge reward for every student and staff member in our building.  We can do great things when we work together – please, grab a shift and help out!  Questions?  Email board@chepta.org.
